This is an excellent opportunity for an ambitious property professional to gain substantial experience in the commercial property sector.

Main duties and key responsibilities

  • Assist in the effective delivery of property management services and legal compliance across a diverse portfolio of commercial properties owned by various clients
  • Provide high quality customer service, update and maintain current daily and tenant emergency contact lists and tenant information manuals
  • Provide support by producing, modifying and/or distributing various forms/spreadsheets, manuals, information packages and miscellaneous information
  • Process correspondence for tenants, contractors and other parties
  • Provide effective monitoring and cost control of service charge budgets, liaising with both the facilities and accounts teams
  • Assist Rapleys Facilities Helpdesk with the scheduling of contractor work and coordinate with tenants
  • Handle miscellaneous assignments as requested
  • Maintain electronic filing system
  • Assist with the coordination of rent and service charge collection, working with credit controllers
  • Assist and administer lease agreements
  • Assist with tenant and client relations as required
  • Support the Facilities Team by following up actions from audits and risk assessments
  • Ensure all processes and activities are carried out in accordance with the Rapleys quality procedures and financial rules
  • Any other reasonable duties as requested.

Skills & experience 

  • Able to visit sites
  • Full clean driving licence
  • Able to operate in an office environment or in multiple sites
  • Demonstrable understanding of Health and Safety in the workplace
  • Excellent administrative and organisation skills
  • Ability to work under pressure and to tight guidelines
  • A natural ability to get on with people
  • Ability to prioritise own workload
  • Able to learn and assimilate new ideas quickly and effectively
  • Promote all Rapleys services and cross-sell where possible
  • Flexible to working outside normal working hours
  • Willing to provide on-call cover.
